هذي الصفحة تشرح بالضبط أي بيانات يجمعها موقع مجالس خطوة، ومتى، وأين تُخزَّن، ومن يصل إليها، وكيف تطلب نسخة منها أو حذفها. This page sets out exactly what data the Khotwa Councils website collects, when, where it is stored, who can reach it, and how to ask for a copy or have it deleted.
من نحن Who we are
مجالس خطوة مجالس طلابية تخدم طلاب برنامج خطوة، ومقر نشاطها الرئيسي في ملبورن — أستراليا، مع مجالس في سيدني وتورونتو وتوسّع قادم في الولايات المتحدة. الموقع khotwastudentcouncil.com وتطبيق مجالس خطوة على App Store يديرهما نفس الفريق، وهذي السياسة تنطبق على الاثنين. Khotwa Councils are student councils serving students of the Khotwa program, based principally in Melbourne, Australia, with councils in Sydney and Toronto and an expansion under way in the United States. The website khotwastudentcouncil.com and the Khotwa Councils app on the App Store are run by the same team, and this policy covers both.

Every item in the table below reaches us because you typed it and submitted it yourself from the form named beside it. Beyond that there are two cases where information reaches us from another source — set out directly below the table — and the aggregate visit measurement explained under Cookies and measurement.

بيانات لا تبدأ منك Information that does not start with you
الجدول أعلاه يغطّي ما ترسله أنت بنفسك. وهناك حالتان تصلنا فيهما بيانات عنك من مصدر آخر، نذكرهما هنا لأن من حقك أن تعرفهما: The table above covers what you send us yourself. There are two cases where information about you reaches us from somewhere else, and you are entitled to know about them:
- زملاء الفريق. إذا سجّل أحدهم فريقًا في بطولة وسمّاك ضمنه، فقد أرسل لنا اسمك وبريدك الإلكتروني حتى نرسل لك دعوة الانضمام. المقعد المحجوز باسمك يُفرَج عنه إذا لم تقبل خلال ٤٨ ساعة، لكن سجل الدعوة نفسه يبقى محفوظًا معلَّمًا كمنتهٍ إلى أن يُحذف من لوحة التحكم. Teammates. If someone registered a team for a tournament and named you in it, they sent us your name and email address so we could email you an invitation. The seat held for you is released if you do not accept within 48 hours, though the invitation record itself remains, marked expired, until it is deleted from the admin panel.
- الحضور بدون تسجيل مسبق. إذا حضرت فعالية بدون تسجيل، قد يسجّل مسؤول المجلس اسمك ورقم جوالك عند الباب لإثبات حضورك، ويُحفظ معه اسم من سجّله ووقته. Attending without registering. If you come to an event without registering first, a council administrator may record your name and phone number at the door to mark your attendance, stored with who recorded it and when.
نرسل لك رسائل بريد عند الحاجة — تأكيد تسجيل، قرار على طلبك، شهادة، أو تذكير بفعالية. ونحتفظ بسجل بأن الرسالة أُرسلت (المستلم والموضوع والوقت) حتى نقدر نتحقق لاحقًا إذا قلت إنها ما وصلتك. We email you when there is a reason to — a registration confirmation, a decision on your application, a certificate, or an event reminder. We keep a record that the message was sent (recipient, subject and time) so we can check later if you tell us it never arrived.
ليش نجمعه Why we collect it
- لمراجعة طلبك والرد عليه، وللتواصل معك بخصوص ما قدّمت عليه تحديدًا.To review your application, decide on it, and contact you about the specific thing you applied for.
- لتنظيم الفعاليات: توزيع الفرق، حجز الأماكن، التذكير قبل الموعد، وتسجيل الحضور.To run events: assigning teams, holding places, reminding you beforehand, and recording attendance.
- لإصدار شهادات المشاركة والتحقق منها لاحقًا عبر صفحة التحقق.To issue participation certificates and let them be verified later on the verification page.
- لتشغيل بوابة الأعضاء وعرض سجلك أنت فيها.To run the member portal and show you your own record inside it.
- لتحسين ما نقدّمه، عبر تقييمات مجمّعة لا نربطها بأشخاص.To improve what we run, through aggregate feedback that we do not tie back to individuals.
ما نبيع بياناتك، وما نؤجّرها، وما نستخدمها لإعلانات. ولا نشارك اسمك أو بياناتك مع الجامعات أو الرعاة أو أي جهة خارجية إلا إذا طلبت منك ذلك صراحةً ووافقت. We do not sell your data, rent it, or use it for advertising. We do not share your name or details with universities, sponsors or any outside party unless we ask you explicitly and you agree.
أين يُخزَّن Where it is stored
الموقع مبني على خدمات Google Firebase، والبيانات موزّعة على ثلاثة مواضع: The site runs on Google Firebase, and the data sits in three places:
- قاعدة البيانات — في مركز بيانات Google في ملبورن، أستراليا. هنا تعيش الطلبات والتسجيلات والملفات الشخصية.The database — in Google's data centre in Melbourne, Australia. Applications, registrations and profiles live here.
- الملفات (الصور الشخصية، ملفات الشهادات، المستندات) — في مركز بيانات Google في الولايات المتحدة.Files (profile photos, certificate files, documents) — in Google's data centre in the United States.
- المعالجة (إرسال البريد، إصدار الشهادات) — تجري على خوادم Google في الولايات المتحدة.Processing (sending email, issuing certificates) — runs on Google servers in the United States.
يعني: جزء من بياناتك يغادر أستراليا إلى الولايات المتحدة بحكم بنية الخدمة. نذكر هذا هنا صراحةً لأنك من حقك تعرفه قبل ما ترسل أي شي. So: part of your data leaves Australia for the United States by the nature of the platform. We say so plainly here because you are entitled to know before you send anything.
من يصل إليه Who can reach it
داخليًا: أعضاء إدارة المجالس المصرّح لهم فقط، عبر لوحة تحكم تتطلب تسجيل دخول. وبعض المدراء مقيّدون بمجلسهم فيرون بيانات مجلسهم فقط. وكل إجراء إداري حساس يُسجَّل باسم من نفّذه ووقته. Internally: only authorised council administrators, through a panel that requires sign-in. Some administrators are scoped to their own council and see only its data. Every sensitive administrative action is logged with who did it and when.
خارجيًا، هذي هي الجهات التي تمر بها بياناتك بحكم تشغيل الموقع — ولا واحدة منها تستقبل بياناتك لأغراضها هي: Externally, these are the providers your data passes through in order for the site to work — none of them receives it for their own purposes:
- Google Firebase — الاستضافة وقاعدة البيانات وتخزين الملفات وتسجيل الدخول.Google Firebase — hosting, database, file storage and sign-in.
- Gmail (SMTP) — إرسال رسائل البريد التي نرسلها لك.Gmail (SMTP) — delivering the emails we send you.
- Cloudflare — شبكة التوصيل التي تخدم الصفحات، وقياس زيارات مجمّع.Cloudflare — the delivery network that serves the pages, plus aggregate traffic measurement.
- Google Analytics — إحصاءات زيارة مجمّعة. ما نرسل له اسمك ولا بريدك.Google Analytics — aggregate visit statistics. We do not send it your name or email.
- YouTube و Vimeo — فقط على الصفحات التي فيها مقطع فيديو مضمّن، وفقط عند تشغيله.YouTube and Vimeo — only on pages that embed a video, and only when you play it.
كم نحتفظ به How long we keep it
- سجلات العضوية والمشاركة والشهادات تبقى ما دامت عضويتك قائمة — لأن الشهادة لازم تظل قابلة للتحقق بعد سنوات.Membership, participation and certificate records are kept while your membership stands — a certificate has to stay verifiable years later.
- ما نحذفه من لوحة التحكم يدخل سلة محذوفات ويُمحى نهائيًا بعد ٣٠ يومًا تلقائيًا.Anything deleted from the admin panel goes to a trash bin and is permanently erased automatically after 30 days.
- دعوات الفرق تنتهي صلاحيتها بعد ٤٨ ساعة، ورموز التحقق بالبريد تنتهي بعد وقت قصير من إرسالها.Team invitations expire after 48 hours, and email verification codes expire shortly after they are sent.
- سجلات إرسال البريد وسجلات الإجراءات الإدارية تبقى للمراجعة والتدقيق.Email delivery logs and administrative action logs are kept for review and audit.
حقوقك Your rights
تقدر في أي وقت تطلب: نسخة من بياناتك عندنا، أو تصحيح معلومة خاطئة، أو حذف بياناتك، أو التوقف عن إرسال أي بريد لك. راسلنا وسنرد خلال مدة معقولة. At any time you can ask for: a copy of the data we hold about you, a correction to something wrong, deletion of your data, or a stop to any email we send you. Write to us and we will respond within a reasonable time.
لاحظ أن حذف بياناتك يعني إلغاء الشهادات المرتبطة بك — بعد الحذف ما تعود قابلة للتحقق عبر صفحة التحقق. نوضّح لك ذلك قبل التنفيذ. Note that deleting your data also retires the certificates tied to you — after deletion they can no longer be checked on the verification page. We will make that clear before acting.
ملفات تعريف الارتباط والقياس Cookies and measurement
ما نستخدم ملفات تعريف ارتباط إعلانية ولا تتبّع عبر مواقع أخرى. الذي يصل إلينا اثنان فقط: ما تحتاجه Google Analytics لعدّ الزيارات بشكل مجمّع، وما يحفظه المتصفح لإبقائك مسجّل الدخول في البوابة. أما ما يبقى في متصفحك ولا يغادره فهو لغة العرض التي تختارها، ونسخة مؤقتة من رسالة لم ترسلها بعد في نموذج التواصل حتى لا تضيع إذا بدّلت اللغة أو أعدت تحميل الصفحة — تُمحى بمجرد إرسال الرسالة أو إغلاق التبويب. We use no advertising cookies and no cross-site tracking. Only two things reach us: what Google Analytics needs to count visits in aggregate, and what your browser stores to keep you signed in to the portal. What stays in your browser and never leaves it is the display language you pick, and a temporary copy of a message you have not sent yet on the contact form, so it survives a language switch or a reload — cleared the moment the message is sent or the tab is closed.
الطلاب تحت سن الرشد Students under 18
الموقع موجّه لطلاب برنامج خطوة. إذا كان عمرك أقل من ١٨ سنة، شارك بعلم وليّ أمرك. وإذا كنت وليّ أمر وتبي نحذف بيانات ابنك أو ابنتك، راسلنا ونحذفها. The site is for students of the Khotwa program. If you are under 18, take part with your guardian's knowledge. If you are a guardian and want your child's data removed, write to us and we will remove it.
تغييرات على هذي السياسة Changes to this policy
إذا تغيّر ما نجمعه أو أين يُخزَّن، نحدّث هذي الصفحة ونحدّث تاريخ آخر تحديث في أعلاها. والتغييرات الجوهرية نبلّغ بها المسجّلين بالبريد. If what we collect or where it is stored changes, we update this page and the "last updated" date at the top of it. Material changes are emailed to registered members.
